  2. How formal should a request email be? Does it depend on whether you are writing to a company you already have a relationship with?

Thank you for your order of 28 June. Dear Mr. Miles,
I have today received your package containing four lawnmower blades that you state to be faulty.
I understand from your letter that these were found unsuitable on delivery and are being returned for refund. However, close inspection of the blades indicates that they have been used on at least one occasion, and the damage appears to have resulted from running the machine into concrete, or similar compound, as traces of this can be seen on the cutting edge.
For this reason, we are unable to offer a refund, as the damage was not present when the goods left these premises.
If you have any further comments on this matter, or wish us to return the blades to you, please write to this department, quoting the reference above, within the next 30 days. If we do not hear from you by this date, the goods will be disposed of.
Yours sincerely,
Harry Treen

Korean Trap

Korean speakers often make this mistake in request letters.

❌ "Would you please provide us your catalog? I will wait for your response."
✅ "Would you please provide us with your catalog? I look forward to your response."

'provide us your catalog' (with 생략)은 문법 오류입니다. 또한 'I will wait'보다 'I look forward to'가 적극적이고 프로페셔널한 마무리 표현입니다.

Discussion

Discuss these questions with your teacher after reading.

  1. The credit application letter briefly introduces the company before making the request. Why is it important to establish credibility before asking for something?
  2. The "inability to supply" letter offers an alternative supplier. How important is it to provide solutions when you cannot fulfill a request? How does this affect the business relationship?
  3. The returned goods letter cites "Terms and Conditions of Sale." In your experience, how often do business disputes come down to the fine print of contracts?
  4. Compare the tone of the request letter with the refusal letters. How does the power dynamic between sender and receiver change the language used?
